FUNCTION: Digital Business Solutions – Global Business Solutions Human Resources - Recruitment

LOCATION: Sunway Geo Tower, Bandar Sunway

ROLE POSITIONING AND OBJECTIVES

Reports to:Head of Global Business Solutions, Human Resources Asia Pacific, Middle East & Africa (APMEA)

Reporting Level: Individual Contributor

Geographic Scope: Local

WHAT YOU WILL BE ACCOUNTABLE FOR

• Coordinate and prioritize meetings for the Leadership Team/Extended Leadership Team, including regional and global gatherings.
• Assist in the onboarding process for Leadership Team/Extended Leadership Team members.
• Coordinate and supervise internal events and town hall meetings, such as "What's Up HR" sessions and ad-hoc communication meetings.
• Manage purchase orders and handle expense claims efficiently.
• Arrange domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa/passport processing.
• Serve as a backup to the Executive Assistant (EA) role for the GBS KL Hub.
• Collaborate closely with IT, Facility, and Security teams to manage office and facility operations effectively.
• Perform additional administrative tasks as needed.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

• Minimum of 1 year of experience in either an Executive Assistant (EA) or Administrative Assistant role with a Bachelor’s degree in any relevant field.
• Strong organizational and time management skills.
• Ability to collaborate effectively and communicate clearly.
• Proficiency in English at a high level.
• Proficient in Microsoft Office suite (particularly in PowerPoint, Excel, and Word).
• Positive attitude and willingness to support colleagues.
